Overview
This article covers the most common errors and issues encountered when working with VAT in BrightTax, with step-by-step fixes for each. For the 'Unable to Return Obligation Data' error specifically, see the dedicated article linked in the related articles below.
The MTD VAT Excel Add-In Is Missing After Installation
Cause: Excel has disabled the add-in, which can happen after an Office update or if Excel detects an issue during startup.
Fix:
- Open Microsoft Excel.
- Go to File > More > Options (or File > Options).
- Select Add-ins from the left-hand menu.
- Ensure COM Add-ins is selected in the Manage dropdown at the bottom and click Go.
- Tick BTC MTD Solution in the list.
- Click OK and restart Excel if prompted.
VAT Submission Is Failing With an Authentication Error
Cause: The client's HMRC authorisation has expired or your Agent Services Account credentials are not correctly configured.
Fix:
- Check whether the client's authorisation is still active by attempting to retrieve their obligations.
- If obligations cannot be retrieved, re-send the authorisation request from your ASA and ask the client to re-authorise.
- Confirm your ASA credentials are correctly entered in BrightTax settings.
- Once re-authorised, retry the submission.
Obligation Is Showing as Open After Successful Submission
Cause: HMRC's systems can take a short time to update the obligation status after submission.
Fix:
- Wait 5–10 minutes and refresh the VAT dashboard in BrightTax.
- If the obligation is still showing as open after 30 minutes, check the submission reference — if one was issued at the point of submission, the return reached HMRC and their systems will update shortly.
- Do not resubmit unless you have confirmed the original submission failed — duplicate submissions will result in a duplicate return at HMRC.
CSV Import Is Failing
Common causes and fixes:
- Wrong file format — use only the BrightTax CSV template downloaded from the obligation screen.
- Date format error — dates must be in DD/MM/YYYY format.
- VAT number mismatch — the VAT number in the CSV must match the client record in BrightTax exactly — 9 digits, no spaces.
- Period dates don't match the obligation — the period start and end dates in the CSV must exactly match the open obligation period.
- Currency symbols or commas in figures — enter numbers only (e.g. 1234.56 not £1,234.56).
Box 5 Figure Is Incorrect
Cause: Box 5 (net VAT to pay or reclaim) is calculated automatically as Box 3 minus Box 4. If it looks incorrect, the issue is with the figures entered in Box 1, Box 2, or Box 4.
Fix:
- Review Box 1 (VAT on sales) and Box 4 (VAT reclaimed) carefully.
- Correct any errors in the input boxes.
- Box 3 and Box 5 will recalculate automatically.
No Open Obligations Are Showing for the Client
Possible causes:
- All obligations are up to date — if all returns have been submitted, no open obligations will show. Check the client's HMRC online account to confirm.
- Authorisation issue — if no obligations show and returns are due, check the authorisation chain. See VAT — Unable to Return Obligation Data.
- Wrong VAT number — verify the VAT number on the client record in BrightTax.
Frequently Asked Questions
Q: I submitted a return in error — what do I do?
A: Contact HMRC directly to discuss the options. BrightTax does not support amended VAT return submissions — corrections must follow HMRC's error correction process, either via an adjustment on the next return or a formal error correction notification.
Q: The figures I imported via CSV look correct but the return is still showing errors — what should I check?
A: Run through the VAT box figures manually to confirm the calculated boxes (3 and 5) are correct. Also check that the obligation period dates in the import match the open obligation exactly.
Q: I cannot see the VAT dashboard for a client — where is it?
A: VAT functionality is accessed from within the client record or task area in BrightTax. If you cannot see the VAT section, check that VAT is included in your BrightTax subscription and that your user account has the appropriate permissions.
