| Overview |
BrightTax integrates with QuickBooks Online to allow you to import trial balance data from a client's QuickBooks account directly into BrightTax Accounts Production. This removes the need to manually re-enter bookkeeping figures when preparing Year End Accounts.

| Before You Begin |
- The client must have an active QuickBooks Online account with their accounts data for the relevant period.
- You must have access to the client's QuickBooks account — either as the account holder or via QuickBooks ProAdvisor access.
- The client must exist as an Organisation in BrightTax with a Year End Accounts task created.
- You need administrator access in BrightTax to configure integrations.
| How to Connect QuickBooks and Import Trial Balance Data |
- Open the Year End Accounts task in BrightTax for the relevant client.
- Switch to Edit mode using the toggle in the bottom-left corner.
- In the Accounts Production module, locate the trial balance import option.
- Select QuickBooks as the data source from the import options.
- You will be redirected to the QuickBooks authorisation screen. Log in using the client's QuickBooks credentials or your ProAdvisor access.
- Authorise BrightTax to access the QuickBooks account when prompted.
- Select the QuickBooks company and the accounting period you want to import.
- Click Import to pull the trial balance data into BrightTax. The figures will populate the Extended Trial Balance automatically.

| After Importing |
Once the trial balance data has been imported:
- Review all imported figures in the Extended Trial Balance.
- Make any required adjusting journals in BrightTax.
- Complete the accounts — director linking, report signing, notes, and Check and Generate.
- Year-end adjusting journals posted in BrightTax will need to be entered manually in QuickBooks to keep the bookkeeping records in sync.

QuickBooks is not appearing as an import option
- Confirm the QuickBooks integration is available on your BrightTax subscription.
- Ensure you are in Edit mode.
The authorisation is failing
- Check that the QuickBooks account is active and that you have the correct level of access.
- Ensure you are connecting to QuickBooks Online — BrightTax does not support QuickBooks Desktop.
- Try the authorisation again — OAuth connections occasionally time out and simply need to be retried.
The imported figures look incorrect
- Confirm all transactions in QuickBooks are reconciled and the period is fully entered before importing.
- Check that you selected the correct company and period during the import step.

Q: Does BrightTax support QuickBooks Desktop (non-cloud version)?
A: No. The BrightTax QuickBooks integration supports QuickBooks Online only. QuickBooks Desktop is not supported.
Q: Can I reimport from QuickBooks after making changes in QuickBooks?
A: Yes. Re-importing overwrites the current trial balance data in BrightTax with the latest QuickBooks figures. Journal entries made in BrightTax are not affected.
Q: Will the integration work if my client is on QuickBooks Simple Start?
A: QuickBooks Simple Start has some limitations on the data available via the API. If trial balance data cannot be imported for a Simple Start account, enter the figures manually in BrightTax or ask the client to upgrade to a higher QuickBooks tier.
