| Overview |
If you are new to BrightTax and have an existing client base in another system — such as BTC desktop, IRIS, or another practice management tool — you can import your client static data in bulk rather than creating each client record manually. This is supported as part of the BrightTax onboarding process and is led by the Bright Customer Success team.
| What Data Can Be Imported? |
The bulk import covers client static data — the information held on each client record. This includes:
- Client name and type (individual or organisation)
- Address and contact details
- UTR numbers
- Company registration numbers
- Responsible user assignments
| ⚠ Important: The bulk import covers client records only — it does not import historical tax returns, accounts data, or prior year figures. Those must be entered manually or brought forward within BrightTax as you work through each client. |
| How to Request a Bulk Import |
- Export your client data from your current software in Excel (.xlsx or .csv) format. Most practice management systems support this — consult your current software's documentation for instructions.
- Email the Customer Success team at customersuccess@brightsg.com with your exported file and a brief description of your current software.
- The team will review your data, map it to the BrightTax format, and carry out the import on your behalf.
- Once complete, you will be notified and can review the imported client records in BrightTax.

| Preparing Your Data File |
To ensure the import goes smoothly, check the following before sending your file:
- Each client is on a separate row
- Client type (individual or organisation) is clearly indicated
- UTR numbers are 10 digits with no spaces
- Company registration numbers include leading zeros where applicable
- There are no merged cells or complex formatting in the spreadsheet
| Migrating from BTC Desktop |
If you are specifically migrating from BTC Software desktop, the Customer Success team has experience with BTC export formats and can assist with mapping your data directly. Mention BTC in your email and include the version of BTC you are using.
Note that prior year return data and accounts from BTC cannot be imported automatically into BrightTax. If you need access to historical returns, keep BTC accessible during your transition period.

Q: How long does a bulk import take?
A: Import timescales depend on the size of your client list and the quality of the data file. The Customer Success team will confirm a timescale once they have reviewed your file.

A: There is no hard limit. BrightTax can accommodate large client lists.
Q: Can I do the import myself without contacting the Customer Success team?
A: Currently, bulk imports require assistance from the Customer Success team to ensure data is mapped correctly. Manual client creation is available self-service at any time.
