| Overview |
The client record in BrightTax is the central hub for all information held about a client — their contact details, addresses, filing history, associated tasks, and compliance information. This article explains the layout of the client record and where to find the most commonly needed information.
| Accessing a Client Record |
- From the BrightTax dashboard, go to the Client List in the left-hand navigation menu.
- Search for the client by name, reference number, or UTR using the search bar at the top of the list.
- Click the client's name to open their record.
| Client Record Layout |
The client record is divided into tabs. The tabs available depend on whether the client is an Individual or an Organisation:
| Tab | What It Contains |
| Summary | Client name, reference, status, UTR/company number, and key dates at a glance |
| Details | Contact, administrative, tax and business details, and general notes about the client |
| Address Details | All addresses held for the client — address type, from and to dates, and the default contact address |
| Tasks | All tasks created for this client — tax returns, accounts, VAT returns |
| Submissions | History of all submissions made to HMRC and Companies House for this client |
| Documents | Attached documents — signed accounts, correspondence, identity verification files |
| Contacts | Associated contacts — partners, directors, spouses, or other linked individuals |
| Finding a Client's Address |
Client addresses are held on the Address Details tab:
- Open the client record.
- Click the Address Details tab.
- All addresses for the client are listed, with the default contact address marked.
- To add, edit or remove an address, use the options on the Address Details tab.
| ✔ Tip: A client can hold multiple addresses, each with its own type and date range. Mark one as the default contact address — see Client Record Details and the Address Details Tab. |

| Frequently Asked Questions |
Q: I can see the client in the list but cannot open their record — what should I check?
A: Check that you have been assigned as the responsible user for that client, or that your user permissions include access to all clients. Contact your BrightTax administrator if you believe your access is incorrectly restricted.
Q: The client's address in BrightTax does not match what HMRC holds — which one is correct?
A: BrightTax holds the address you have entered — it does not automatically sync with HMRC records. If a client has notified HMRC of an address change, update BrightTax to keep both in sync.
Q: Can I have more than one address on file for a client?
A: Yes. The Address Details tab holds multiple addresses, each with its own type and from and to dates. Mark one as the default contact address.
