| Overview |
The client record in BrightTax is the central hub for all information held about a client their contact details, filing history, associated tasks, and compliance information. This article explains the layout of the client record and where to find the most commonly needed information.
| Accessing a Client Record |
- From the BrightTax dashboard, go to the Client List in the left-hand navigation menu.
- Search for the client by name, reference number, or UTR using the search bar at the top of the list.
- Click the client's name to open their record.
- The client record opens on the Summary tab by default.
| Client Record Layout |
The client record is divided into tabs. The tabs available depend on whether the client is an Individual or an Organisation:
| Tab | What It Contains |
|---|---|
| Summary | Client name, reference, status, UTR/company number, and key dates at a glance |
| Details | Full contact information including address, phone, email, and correspondence preferences |
| Tasks | All tasks created for this client — tax returns, accounts, VAT returns |
| Submissions | History of all submissions made to HMRC and Companies House for this client |
| Documents | Attached documents — signed accounts, correspondence, identity verification files |
| Contacts | Associated contacts — partners, directors, spouses, or other linked individuals |
| Notes | Free-text notes recorded against the client record |
| Finding a Client's Address |
The client's address is held on the Details tab of the client record:
- Open the client record.
- Click the Details tab.
- The client's registered address, correspondence address, and contact details are displayed here.
- To update the address, click Edit Record in the toolbar, make the changes, and click Save.
| ✔ Tip: BrightTax stores a registered address and a correspondence address separately. If the client's correspondence address differs from their registered address, ensure both are up to date — the correspondence address is used for printed letters and client communications. |

| Frequently Asked Questions |
Q: I can see the client in the list but cannot open their record — what should I check?
A: Check that you have been assigned as the responsible user for that client, or that your user permissions include access to all clients. Contact your BrightTax administrator if you believe your access is incorrectly restricted.
Q: The client's address on BrightTax does not match what HMRC holds — which one is correct?
A: BrightTax holds the address you have entered — it does not automatically sync with HMRC records. If a client has notified HMRC of an address change, update BrightTax manually to keep both in sync.
Q: Can I have more than one address on file for a client?
A: Yes — BrightTax supports a registered address and a correspondence address. You can also record historical addresses from the address history section on the Details tab.
