| Overview |
When creating or editing a user account in BrightTax, administrators can configure a range of permissions to control what each user can see and do within the system. This article explains each permission option and when to use it.
| Before You Begin |
- You must have administrator access in BrightTax to manage user permissions.
- User permissions in BrightTax are separate from role settings in BrightHub — both need to be configured appropriately.
| BrightTax User Permission Options |
| Permission | What It Does |
|---|---|
| Administrator | Grants access to the System Management section. The user can add and manage other users, customise user accounts, change filing credentials, and delete system locks. |
| Can Delete Data | Allows the user to delete existing tasks within BrightTax. Leave this unticked if you do not want the user to be able to delete tasks. |
| Client List Locked to Responsible Clients | Restricts the user's client list to only the clients they are responsible for. Tick this if you want users to only see their own assigned clients. |
| Blocked | Prevents the user from logging in to BrightTax. Use this when a staff member has left the practice. Blocked users do not count towards your licence total. |
| ✔ Tip: Use the Blocked option rather than deleting a user account when a staff member leaves. Blocking preserves any data associated with their account and does not affect your licence count. |
| How to Update User Permissions |
- In BrightTax, go to System Management from the left-hand navigation.
- Select Users from the System Management menu.
- Find the user you want to update and click their name or the edit icon.
- Update the relevant permission tick boxes.
- Click Save to apply the changes.

Q: Can a user have administrator access in BrightTax but only User-level access in BrightHub?
A: Yes. BrightTax and BrightHub permissions are managed independently. A user can be an administrator in BrightTax while having restricted access in BrightHub.
Q: What happens to tasks and data when a user is blocked?
A: All tasks and data associated with the blocked user remain in BrightTax. Only their ability to log in is removed.
Q: How do I know how many licences I have remaining?
A: Your licence information is visible within BrightHub under Products, or within BrightTax under System Management > Licence Information.
